Hosted Vicidial vs Self-Hosting: What It Really Takes

By Connectivity King

Vicidial is free to download. Running it well is a different story. Somewhere between the install and a floor full of agents dialing happily, someone has to own the servers, the patches, the backups, the carrier entries and the phone that rings when a campaign stops connecting. The real question behind "hosted or self-hosted?" isn't a line item on a spreadsheet. It's who does that work, and whether you want it to be you.

Most comparisons out there boil down to a monthly number. This one doesn't. Below is an honest, operational look at what each path takes, where self-hosting genuinely wins, where hosted earns its keep, and a checklist to help you decide. (Yes, we sell a hosted Vicidial dialer. We'll still tell you when you shouldn't buy one.)

What You're Actually Choosing Between

Self-hosting means you run Vicidial on servers you control: hardware in your office or a data center, or virtual servers you rent and maintain. You (or your IT person) install the operating system, Asterisk, the database and the web stack, then connect your own SIP trunks and DIDs.

Hosted means a provider runs the Vicidial platform for you. Your agents log in through a web browser with a softphone or SIP phone, your managers use the same Vicidial admin, and the provider owns the infrastructure underneath. It's the same Vicidial either way. The difference is who's on the hook for keeping it alive.

Where the Work Really Goes

Servers, Asterisk and Vicidial Updates

A single server can carry a small Vicidial floor, but growing centers usually split the database, web and telephony roles across a cluster, and every server in it has to agree on time, versions and configuration. Vicidial moves forward through the project's code repository and database upgrade scripts, and Asterisk has its own release cycle. Upgrades aren't a click: you read the changelog, test on a non-production box, schedule a window outside calling hours and keep a rollback ready. Asterisk's move away from chan_sip is a good example. Our chan_sip to PJSIP migration guide shows how much care a "simple" upgrade takes.

Security and Patching

Any server with SIP and web ports open to the internet gets probed, constantly, by scanners hunting for weak passwords and open dial access. A compromised dialer can mean toll fraud: calls you never authorized, on your trunks. Self-hosting means you own the firewall rules, the allow-lists for agent and carrier IPs, strong admin and phone passwords, HTTPS on the agent and admin screens, and a patch routine for the operating system, web stack and Asterisk. None of it is exotic. All of it has to happen every time, forever.

Backups and Monitoring

Backups cover the database (leads, dispositions, campaign settings), your configuration and your call recordings, which grow fast and love to fill disks. A backup you've never restored is a hope, not a plan, so test restores on a schedule. Monitoring means alerts for disk space, server load, database health, clock drift between servers and carrier reachability, plus someone who actually reads them. The classic self-hosted surprise is a full recordings disk discovered by the agents, not the admin.

Carriers, DIDs and STIR/SHAKEN

Self-hosting lets you pick any carrier, which is real freedom. It also means you build and debug the carrier entry, dialplan and number formats yourself. Our guide to adding a SIP trunk carrier in Vicidial walks through that form step by step. You'll also need DID numbers for caller IDs, callbacks and inbound lines, and you're responsible for sending only caller IDs you own or are authorized to use.

On caller ID trust: STIR/SHAKEN helps authenticate caller ID. The attestation level comes from the provider that originates your calls, based on its relationship with you and your right to use the number. Where your dialer lives doesn't change that; your SIP trunking provider and your numbers do. For what attestation does and doesn't do, read our STIR/SHAKEN and spam labels guide.

Scaling Agents

Self-hosted scaling is a hardware project. More agents means more telephony capacity, a database that keeps up and more bandwidth, all rebalanced without breaking live campaigns. Plan it well before the new client starts. On a hosted platform, you tell your provider the seat count and campaign mix, and they size it. With Connectivity King, that starts with a scoping call, quotes usually come back the same day, and you can usually be live in about 24 hours.

Who You Call at 2am

Self-hosted, the honest answer is: whoever set it up. If that's a contractor, find out now whether they pick up at 2am. If it's you, keep your laptop charged. There's also the finger-pointing problem. When calls fail, is it the server, the carrier or the dialplan? With three vendors, you can lose a morning just figuring out whom to ask.

Hosted with Connectivity King, one team handles the platform and the routes, monitoring of your system is included, and our support hours are Monday to Friday, 9am ET to 9pm PT, by phone, email and WhatsApp live chat. If your floor runs outside those hours, raise it on your scoping call so you know exactly what's covered.

Compliance Stays With You Either Way

Hosting is an infrastructure decision, not a compliance strategy. Whether Vicidial runs in your server closet or on our platform, your call center remains responsible for the TCPA and the Telemarketing Sales Rule, having the right consent for the type of call and technology you use, scrubbing against the National Do Not Call Registry and your internal DNC list, honoring opt-outs, following calling-hours rules and abandonment limits, and complying with state telemarketing laws. Vicidial's DNC lists and drop-rate settings can support your program, but they don't replace it. This is general information, not legal advice. Talk to your own counsel about your campaigns.

When Self-Hosting Makes Sense

Self-hosting is a legitimate choice, and for some teams it's the better one:

  • You have real in-house Linux and Asterisk skills, with backup coverage when that person is on vacation.
  • You need deep customization, like custom code, unusual integrations or modified agent screens.
  • You want carrier freedom, or a client contract requires specific carriers or data locations.
  • You already run reliable infrastructure and the monitoring to go with it.
  • You enjoy it. Some ops leaders genuinely like running their own stack, and they're good at it.

When Hosted Makes Sense

  • Nobody on staff wants to be the Vicidial admin, or the current admin is also the founder.
  • You'd rather spend your time on campaigns, lists and agents than on servers.
  • You want one point of contact for the dialer, the SIP trunks and the DIDs.
  • You need to launch fast, whether that's a new client or a new floor.
  • You're moving off a self-hosted system and you're done patching servers. We can migrate your existing lists and campaigns.

A Quick Decision Checklist

Answer these honestly:

  1. Who applies operating system, Asterisk and Vicidial updates, and who tests them first?
  2. When did you last restore a backup, recordings included?
  3. What alerts you before the recordings disk fills or a server drifts out of time sync?
  4. Who reviews firewall rules and passwords, and how often?
  5. Who builds and debugs carrier entries, and whom do you call when a carrier changes something?
  6. How long does it take to add capacity for a new campaign?
  7. Who answers at 2am, and who covers when they're out?
  8. Do you need a carrier or customization a hosted platform won't support?

If you have confident names for questions 1 through 7 and question 8 is a yes, self-hosting is probably your path. If several answers are "uh, me?", hosted deserves a serious look.

Hosted vs Self-Hosted Vicidial FAQ

Is hosted Vicidial different software from self-hosted Vicidial?

No. It's the same Vicidial platform. The difference is who runs the servers, the telephony layer and the upkeep. Your agents and managers use the same screens either way.

Can I bring my own carrier to Connectivity King's hosted dialer?

No. Our hosted dialer runs only on Connectivity King VoIP, so routing, STIR/SHAKEN attestation, DIDs and monitoring stay with one team. If you need a specific carrier, self-hosting Vicidial with our SIP trunks or another provider's may fit better.

Does self-hosting change my caller ID attestation?

No. STIR/SHAKEN helps authenticate caller ID, and attestation comes from the provider that originates your calls, based on its relationship with you and your right to use the number. Where the dialer runs doesn't change it.

Can you move my self-hosted Vicidial to your platform?

Yes. We can migrate your existing lists and campaigns from another Vicidial system. Tell us what you're running today in your quote request.

Does hosting change my TCPA or DNC obligations?

No. Consent, the National DNC Registry and your internal DNC list, opt-outs, calling hours and state laws stay your responsibility on any platform. This isn't legal advice, so talk to your counsel about your campaigns.
